We are looking for a highly organized and detail-oriented Operation Team Leader to oversee the operations of our Creative In-House Team within the Marketing Department. This role requires strong data management and project coordination skills to ensure smooth execution of creative and marketing initiatives. The ideal candidate should have experience with performance tracking systems and excellent communication skills to collaborate effectively across multiple teams.
What you will do
- Data Reporting & Performance Tracking
- Manage and track the performance of the Creative In-House Team.
- Oversee the operation of Jira or Jello (or similar workflow management software) to ensure efficient task allocation and progress tracking. Arrange task traffic on a daily basis to boost the team’s efficiency and effectiveness.
- Generate reports and insights based on team performance to optimize workflow efficiency.
- Manage the production workstream: such as merchandise and gifts for users.
- Executing a variety of project management administrative tasks such as contracts and terms of agree & billing.
- Forecast the amount of resources required to support different types of marketing activities and make recommendations for team leads/ managers on task assignment and teams’ performance.
- Project Management & Team Coordination
- Define roles and responsibilities for each Creative In-House Team member within different projects.
- Ensure all team members follow the weekly work-blocking system to meet deadlines effectively.
- Push and align creative teams, media teams, and other relevant stakeholders to ensure smooth project execution.
- Managing project management documents such as the project plan, budget, schedule or scope statement, as directed by the project manager.
- Follow up with brief, contract and payment for outsourced work.
What you will need
- Proven experience in operations, project management, or team coordination.
- Proficiency in Jira, Jello, or other project management tools.
- Strong organizational skills with attention to detail and a problem-solving mindset.
- Excellent communication and interpersonal skills to collaborate across teams.
- Ability to manage multiple projects in a fast-paced environment.
- Understanding of marketing processes; knowledge of design is a plus.
- High level of flexibility, openness, and structured working style.
